This Privacy Policy explains how Student Toolbox Central ("we", "us", or "our") collects, uses, stores, shares and protects the personal information of users ("you" or "your") when you use our website and the services we provide.

2.1 Personal Information (required to create an account)
When you create an account on our website we collect the following personal information:
- Student number
- Student email address
- First name and last name
- Password (stored in hashed form)
2.2 Tool-specific / optional information
Some features/tools on our site ask for additional information which is optional and only collected if you choose to use that feature:
- Books Marketplace (selling): If you register as a seller to upload and sell books we ask for a phone number. This phone number is only requested from users who register as sellers. It is used solely to facilitate seller listings, buyer–seller communication about listings, collection/delivery coordination, and related marketplace activities.
- Timetable Creator: If you upload your class timetable in the timetable creator tool we store those timetable entries so we can provide the timetable service to you (display, editing, etc.).
2.3 Non-personal information
We do not collect non-personal usage data such as IP addresses, browser fingerprints, or page visit logs unless you explicitly opt in to any analytics feature. (If you later add analytics or tracking, we will update this policy and notify users.)
3. How We Use Your Information
We use the personal information we collect for the following purposes:
- To create, maintain and authenticate your account and to provide the core services of the site.
- To enable and administer the Books Marketplace when you register as a seller (e.g., showing your listing, allowing communication with buyers when needed).
- To store and present timetables you upload so the timetable creator tool works for you.
- To communicate important account messages, service updates, and time-limited offers relevant to users.
Marketing & promotional emails: We do not spam. We may send occasional marketing or promotional emails (for example: a limited-time offer, new feature announcements, or a campus marketplace highlight). Most emails will be service-related or time-limited updates. You may opt out of marketing emails at any time by following the unsubscribe link in those emails or contacting us (see Contact section).
4. Data Protection and Security
We take steps to protect your data, including:
- Storing passwords using secure hashing algorithms.
- Following secure coding and database practices to minimize unauthorized access risks.
While we implement industry-standard safeguards, no system can be 100% secure. If we become aware of a security breach affecting your personal information we will follow applicable laws and notify affected users where required.
5. Sharing and Visibility
We will not sell, trade, or otherwise transfer your personal information to outside parties except in the limited cases described below:
- University requests: We will only disclose personal information if we are explicitly required to do so by the university or by law.
- Marketplace activity: When you use the Books Marketplace as a seller, certain details (e.g., seller name or contact details you choose to display) may be visible to buyers as needed to complete listings — your phone number is not automatically shown to other students unless you choose to share it in a listing or messaging context.
Visibility to other students: Your student number and student email address are not shared with other students and are only visible to you when you are logged into your account. We treat these fields as private by default.
6. Data Retention
We retain your personal information for as long as your account exists or as necessary to provide you the services you use. If you request deletion of your account and data, we will remove your personal data from active systems and backups as soon as reasonably possible after verifying the request. If you use optional tools (Books Marketplace, Timetable Creator), the data you provide for those tools (e.g., phone number, timetable entries) will be retained as needed to provide those services unless you request deletion.
7. Your Rights
You have certain rights related to your personal information:
- Access & correction: You can review and update your account information (name, email) from your account settings or reset your password at any time.
- Data deletion: You may request deletion of your account and personal data by contacting us (see Contact section). We will verify and process deletion requests in line with our retention procedures.
- Opt-out: You can opt out of marketing emails at any time via the unsubscribe link in our marketing emails.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Significant changes will be communicated by email to the address provided during registration. You should review this policy periodically.
